Organizational Overview

The Business Services Directorate (BSD) provides high-quality business services to support the Lab's research initiatives by participating in cross-functional teams with a focus on risk mitigation and cost management, which is a critical component to the Lab's success.  Led by the Chief Financial Officer, Brookhaven’s Business Services Directorate includes the Business Operations Offices, Budget Office, Fiscal Services Division, and Procurement & Property Management Division.  The Directorate manages a broad range of financial activities, including the planning and implementation of the Lab’s fiscal matters and its approximately $700 million annual budget.

Position Description

The Business Services Directorate has an opening for an Associate Business Specialist within the Computational Science Initiative (CSI) Business Office.  This individual will report to the Business Operations Manager that currently oversees the Computational Science Initiative Business Office. 

Essential Duties and Responsibilities:

  • Assisting the business office contract administrator, including the following:
    • Processing purchase requisitions which entail assisting the end user in obtaining supplies and services.
    • Processing invoices for allowability and ensuring that they are properly authorized by interacting with Accounts Payable (AP), Procurement and Property Management (PPM), and department personnel.
    • Proactively monitoring, reporting, and tracking procurements and contracts to closure.
    • Assist Technical Representative on Justification for Non-Competitive Procurement (JNCP) requirements for contracts.
  • Support the CSI Business Operations Manager and Business Specialists, including:
    • Overall financial support for CSI direct, indirect, and recharge projects.
    • Update cost plans including personnel forecasts and subcontracts.
    • Prepare & process journal entries and project closeouts.
    • Responsible for monthly financial reports and ad hoc reporting.
    • Provide proposal and FWP budget support.
    • Responsible for New York State invoice supporting documentation and invoice preparation.

Position Requirements

Required Knowledge, Skills, and Abilities:

  • Bachelor's degree in accounting or finance/business or equivalent experience generally based on 2:1 (experience: college).
  • Two (2) years of related work experience.
  • Proficient skill level in Microsoft Office products with intermediate proficiency in Excel.
  • Ability to review financial data and prepare meaningful financial reports.
  • Ability to work independently, establish own goals (with supervisory approval), and apply independent judgement, within policies and standards, to complete projects and administer process.
  • Ability to establish positive working relationships at all levels.
  • Flexible team player who will be able to interact with scientific and business staff to accomplish objectives and resolve issues.
  • Ability to prioritize and effectively deal with deadlines.
  • Ability to identify and resolve problems within own area of responsibility.
  • Ability to identify organizational resources and seek assistance when needed.
  • Effective oral and written communication skills.
  • Must be self-motivated, resourceful, and organized, taking ownership of all assigned work.

Preferred Knowledge, Skills, and Abilities:

  • Familiarity with PeopleSoft system and the ability to generate queries and reports.
  • Extensive knowledge of the Laboratory’s Financial system, policies, and procedures.
